WhatsApp QR Code for Business: How to Use It
A WhatsApp QR code lets a customer start a chat with your business by pointing their phone camera at a printed or on-screen code. There is no number to type and no contact to save. It is useful anywhere people are away from a keyboard: a shop window, a table, a delivery bag or a flyer. You can create one with the free WhatsApp QR code generator in a few seconds.
What the QR code actually contains
The code is a picture of a wa.me link. When someone scans it, the phone opens WhatsApp with a chat to your number, and if you added a message, it appears ready to send. Because the data is inside the code, it does not expire and it does not depend on our website to work.
That has one consequence: if you change the phone number or the pre-filled message, the old code keeps pointing to the old values. Decide the final number and message before you print.
Where a WhatsApp QR code works well
- Shop window or door: customers can ask about hours or stock when the shop is closed.
- Restaurant tables and takeaway bags: ask for an order, a reservation or feedback.
- Flyers, posters and business cards: a direct path from paper to a conversation.
- Product packaging and receipts: support or reorder requests.
- Events and stands: visitors ask for a quote without filling in a form.
- Screens and videos: show the code on a slide or a TV so people scan it from their seat.
Write a pre-filled message that helps you
Use the message to say where the chat came from and what the person wants. A few examples:
- Shop window: “Hi, I saw your window and I have a question”.
- Restaurant: “Hi, I would like to book a table for 2”.
- Event stand: “Hi, I met you at the event and would like a quote”.
Keep it short and leave room for the person to complete it. If you print several codes, use a different message for each place, and you will know where each chat came from.
Design rules that keep it scannable
Most failed scans come from the same few causes:
- Contrast. Use a dark code on a light background. Inverted codes (light on dark) fail on some phones.
- Quiet zone. Leave an empty margin around the code, about four modules wide. Do not place text or images touching it.
- Size. Around 2 by 2 cm is a practical minimum for something held in the hand. For a poster, scale it up so people can scan from a distance.
- Format. For print, download an SVG or a high resolution PNG. Do not stretch or blur a small image.
- Surface. Avoid curved, glossy or crumpled surfaces that cause reflections.
Add a call to action next to the code
A bare code gets fewer scans than a code with a reason. Put a line of text next to it: “Scan to chat with us on WhatsApp” or “Order by WhatsApp”. If you can, add the opening hours so people know when to expect an answer.
Test before you print
Always test the final design, not only the file on your screen:
- Scan the printed proof with at least two phones, one iPhone and one Android.
- Scan from the distance a real customer would use.
- Check the chat opens with the right number and the right message.
- Try it in the lighting where it will be displayed.
PNG or SVG: which file to download
- SVG is a vector file. It stays sharp at any size, so it is the better choice for printing, from a business card to a large poster. Send it to your printer as it is.
- PNG is an image of fixed size. It is fine for screens, presentations, social media posts and documents. If you print a PNG, use a large, high resolution version, and never enlarge a small one.
When in doubt, keep both files. Name them clearly, for example qr-window-oct-2026.svg, so you remember which number and message each one contains.
How big should the code be
A common rule of thumb is that a code can be scanned from about ten times its width. A code 2 cm wide works from around 20 cm, one 10 cm wide from around a metre, and one 50 cm wide from around five metres. Treat these as a starting point and always test in the real place, because light, angle and the phone camera change the result.
Think about where the person will be when scanning. A flyer is held in the hand, a window is read from the pavement and a table sign from a seat. Size the code for that distance, not for how it looks in the design.
A placement plan you can copy
If you use several codes, give each one its own message and line of text. For example:
| Place | Line next to the code | Pre-filled message |
|---|---|---|
| Shop window | Scan to ask us anything, even when we are closed | Hi, I saw your window and I have a question |
| Restaurant table | Scan to order or leave feedback | Hi, I am at table 5 and I would like to order |
| Delivery bag | Problem with your order? Scan to chat with us | Hi, I need help with my order |
| Flyer | Scan for a quote by WhatsApp | Hi, I got your flyer and I would like a quote |
The message lets you see the origin of each chat later without any extra tool, as long as the person does not change the text before sending.
Placement mistakes to avoid
- Behind glass that reflects light. Check the code at different times of day.
- On a fold or a curve. A crease through the code can make it fail.
- Too high or too low. Place it at a height where people can point a phone without effort.
- Next to a busy design. Keep the area around the code clear.
- Without a reply plan. A code that brings chats nobody answers hurts your business. Decide who answers and in what hours before you print.
Keep a record of what you printed
Write down which number and which message each printed batch contains, and the date. If you change your number or your offer later, you will know which codes are outdated and where they are displayed. Replacing a few stickers is easier when you have the list.
Make your code now
Open the WhatsApp QR code generator, enter your number and message, check the preview and download the code. If you only need the link for a website or a bio, the link generator gives you both at once.
Frequently asked questions
Does a WhatsApp QR code expire?
A QR code made from a wa.me link does not expire. It only stops working if the phone number changes or the number leaves WhatsApp.
What size should the QR code be when printed?
As a rule of thumb, 2 by 2 cm for a business card and larger for posters. Test the print with a phone before ordering a big batch.
Can I change the message after printing?
No. The message is stored inside the code. If you want to change it, you have to generate and print a new code.
Do I need a paid tool to make one?
No. The free generator on this site creates the QR code and lets you download it as an image or SVG.
